Invoice vs Receipt: What's the Difference?

· 2 min read

Both documents list what was sold and for how much, so it is easy to treat them as the same thing. They are opposites in time: one says "please pay", the other says "thank you, paid".

The short answer

  • An invoice asks for money that is still owed. It is issued before payment, and it has a due date.
  • A receipt confirms money that has been received. It is issued after payment, and it shows how the customer paid.

Which one do you need?

  • Customer pays later (a job, a monthly account, a bulk order): send an invoice now. When the payment arrives, you can send a receipt, or mark the invoice as paid and share it as proof.
  • Customer pays on the spot (a walk-in sale, a market stall, a counter): there is nothing to chase, so the sale can be recorded as paid straight away, and the customer gets a receipt.
  • Deposit now, balance later: invoice the deposit, receipt it when paid, then invoice the balance.

What a receipt should show

  1. The word "Receipt" and a unique receipt or document number.
  2. The date of payment.
  3. Your business name and contact details.
  4. The items or services, with quantities and prices.
  5. The total paid, and the payment method: cash, card, bank transfer or QR.
  6. Any tax included, if you charge tax.

Why keep both

Invoices tell you who owes you. Receipts and paid records show what you actually collected. If a customer disputes a charge, or the tax office or your accountant asks, being able to show the invoice and the matching payment record settles it quickly.

In practice

For quick counter sales, writing a document by hand slows the queue. EzInvoice's Quick Sale lets you tap the items, tap how the customer paid, and saves the sale as a paid record with a link you can share. For work you bill afterwards, create an invoice instead and mark it paid when the money lands. For the difference between those and the document that comes before them, see quotation vs invoice.

One caution: what counts as an official receipt or tax invoice differs by country. If you are registered for sales tax or VAT, check your local rules on what the document has to contain.
